- Account Information: Name, email address, phone number, company name, and password when you register as a Bench Sales or Recruiter.
- Profile Data: Bio, avatar/photo, certifications (AWS, Azure, PMP, CISSP, etc.), and activity stats displayed on your public profile.
- Resume Data: Job title, skills, years of experience, work type preferences, location, visa status, security clearance level, certifications, rate, and professional bio when you upload a resume (PDF, DOC, or DOCX). Our AI resume parser automatically extracts these fields from your uploaded files.
- Job Postings: Company name, contact email, job description, required skills, work types, work mode, visa requirements, security clearance requirements, certifications, compensation details, and location when you post a job requirement. Our AI job description parser may auto-extract these fields when you paste a JD.
- Hotlist / Bench List Data: Candidate name, technology, visa status, work preference, relocation city, experience years, and availability status when you upload a hotlist.
- Job Applications: Applicant name, email, phone, location, visa status, experience, skills, expected rate, availability, cover note, and resume file.
- Vendor Email Lists: Email addresses and names of vendor recipients you add to your custom email list for targeted notifications.
- Email Verification: Email address used for OTP-based identity verification.
- Subscription Preferences: Notification type (jobs, resumes, or both), boolean skill queries, visa status filters, work type filters, and minimum experience preferences for email alerts.
- Saved Data: Saved boolean searches and bookmarked resumes stored in your account.
- Social Data: Follower/following relationships and activity feed interactions.
- Payment Information: When you subscribe to a paid plan, payment is processed through PayPal. We do not store your credit card, debit card, or PayPal account details — PayPal handles all payment data directly. We receive only your PayPal subscription ID, payment status, and transaction confirmation to manage your account.
3. Information Collected Automatically
- Email Engagement Data: We track email open rates and link click-through rates on notification emails using tracking pixels and redirect links. This data is aggregated and used to measure email effectiveness. Individual recipient email addresses are never exposed in analytics.
- Resume Download Logs: When a user downloads a candidate resume, we record the download event (who downloaded, when) and notify the resume owner.
- Notification Logs: We log email notifications sent (recipient, type, timestamp) for rate-limiting and analytics purposes.
4. How We Use Your Information
We use the information we collect to:
- Create and manage your account on the Platform.
- Display your resume, job posting, hotlist, or profile to relevant users of the Platform.
- Run AI-powered parsing to extract structured data from your resumes and job descriptions, reducing manual data entry.
- Auto-convert uploaded resumes into ATS-friendly PDF format for recruiter compatibility.
- Deliver job applications and contact details to the recruiter of the relevant job posting.
- Send targeted email notifications (OTP codes, job alerts, resume alerts, hotlist alerts) based on your subscription filters.
- Send notifications to your custom vendor email list when you choose the "Custom" send target.
- Enable social features including following users, viewing activity feeds, and in-app notifications.
- Track email engagement (opens, clicks) to measure notification effectiveness.
- Notify resume owners when their resumes are downloaded.
- Enforce daily usage limits, plan-based restrictions, and prevent abuse.
- Process subscription payments via PayPal.
- Improve, maintain, and operate the Platform.
- Respond to your inquiries and support requests.
5. How We Share Your Information
We do not sell your personal information. We share your information only in the following circumstances:
- With Recruiters: When you apply to a job, your application details (name, contact info, resume) are shared with the recruiter who posted that job.
- Public Resume Listings: Resume profiles you upload (name, title, skills, location, visa status, security clearance, certifications, bio) are visible to all registered users. Your email and phone number are not publicly displayed.
- Public Hotlists: Hotlist bench sales you upload (name, technology, visa, work preference, experience) are visible to subscribers and users who view your hotlist. Your contact email is included so interested parties can reach you.
- Public Profiles: Your profile page (name, bio, avatar, certifications, activity stats, followers) is publicly visible.
- Company Pages: Job postings are aggregated on auto-generated company pages visible to all users.
- Vendor Email Recipients: If you mark a vendor email as "shared", other users on the Platform may also send notifications to that email address. Private vendor emails are only visible to you.
- WhatsApp & Telegram Sharing: When you share a hotlist to WhatsApp or Telegram, a pre-formatted message containing candidate details is shared via your device. We do not control or access your messaging app contacts.
- Service Providers: We use Supabase (database, authentication, and file storage), Resend (email delivery), and PayPal (payment processing). These providers process data on our behalf under appropriate data agreements.
- PayPal: When you subscribe to a paid plan, we share your user ID and selected plan with PayPal to create and manage your subscription. PayPal may collect additional information (email, payment method, billing address) directly from you during checkout. PayPal's use of your data is governed by the PayPal Privacy Policy.
- Legal Requirements: We may disclose information if required by law or to protect the rights and safety of NomadicTek and its users.
6. AI-Powered Features
The Platform uses AI to parse resumes and job descriptions. When you upload a resume or paste a job description, the text content is processed by our AI parser to extract structured fields (skills, experience, visa status, etc.). This processing happens server-side. We do not use your data to train AI models. The parsed data is stored in your account and used solely to populate your resume profile or job posting.
7. Data Retention
We retain your account information and uploaded data for as long as your account is active. Resume profiles, job postings, hotlists, applications, saved searches, and bookmarked resumes remain on the Platform until you request deletion or we remove them for policy violations. Notification logs and email engagement data are retained for analytics and rate-limiting purposes. OTP verification records are retained for rate-limiting purposes and are not used for any other purpose.
Payment records (PayPal subscription ID, plan type, payment status, and transaction timestamps) are retained for as long as your account is active and for a reasonable period afterward for accounting, tax, and dispute resolution purposes. We do not retain any credit card numbers, bank account details, or PayPal login credentials.
8. Cookies and Tracking
The Platform uses cookies strictly for authentication session management via Supabase Auth. We do not use third-party advertising cookies or behavioral tracking tools. We do use tracking pixels in notification emails to measure open rates and redirect links to measure click-through rates. This data is used in aggregate to improve email effectiveness and is visible to the sender via email analytics.
9. Security
We implement industry-standard security measures including encrypted connections (HTTPS), hashed passwords via Supabase Auth, row-level security policies on our database, and secret-based authentication for internal notification endpoints. However, no method of transmission over the internet is 100% secure. We encourage you to use a strong, unique password for your account.
10. Your Rights
You have the right to:
- Access: Request a copy of the personal data we hold about you.
- Correction: Request corrections to inaccurate or incomplete data.
- Deletion: Request deletion of your account and associated data, including resumes, job postings, hotlists, vendor lists, saved items, and notification history.
- Unsubscribe: Opt out of email alerts at any time via the subscription management page.
- Vendor List Control: Add, remove, or toggle visibility (private/shared) of vendor email recipients at any time.

11. Children's Privacy
The Platform is intended for users who are 18 years of age or older. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with personal information, please contact us immediately.
